Work Visa Travel With an Expiring Passport

It is possible that your visa to enter the country where you are heading to still have a valid entry date, however, your passport might not meet the minimum required validity period for the country you are travelling to. If you have a visa to enter the country, but you are not legitimate to enter the aircraft, you will not be allowed to enter the aircraft.If a Pakistani worker is thinking of travelling on a work visa, with his/her Pakistan passport expiring, the safest thing to do would be to verify three separate timelines before purchasing and/or using a ticket. The left-hand column is for how much longer the passport is valid, the right hand column is for the last date of entry and the employer’s joining schedule.

The majority of the Gulf entry systems have a minimum clause regarding validity of passport, which varies according to the country and the type of visa. For instance, the UAE’s official guidelines for foreign workers instruct them to come with a passport that is valid for at least six months. Additionally, Qatar’s Ministry of Interior recommends that the workers who are on work visas must verify the validity of their passports before they enter Qatar for work. The official guidance of Oman for e-Visa is that we need a minimum of 6 months in our normal passport.

Note that this isn’t a strict all or nothing” policy across all of the destinations. Check with the official if you need a particular visa to work in this country before you come.

The decision is controlled by three clocks

People who work tend to only consider the date of printing on the visa. This leaves two other deadlines uncovered.

Passport validity clock

This will be the time that runs from the date you plan to arrive to the date that the passport expires.Don’t work it out from the day of the issuance of the visa. Work out from the date you are expecting to arrive in the country you are travelling to.Today’s passport that is good for six months may only be valid for a few months less on the scheduled travel date.

Work visa clock

The visa may show:

The same does not necessarily apply to these fields. Visa may not have expired due to the proximity of the passport’s expiration date.

Employer clock

Your employer may have chosen when to join, when to go for a medical, and when to book accommodation and/or when to go for your joining schedule.No employer can impose other requirements or change the passport/immigration requirements. In the event of renewal, ask for the new arrival date (in writing) and don’t go on an uncertain date.

Should you travel or renew first

This is not a personal recommendation as of the 6 month mark. It is also found in a few official sources of entry into the Gulf. However, it should be applied with caution to each country, depending on the exact destination and visa category.

Pakistan allows early passport renewal

One does not need to wait till the last few days of validity for renewing their Pakistani passport.According to the Directorate General of Immigration and Passports there is no limitation on renewing an ordinary passport prior to its expiration. A new passport with full validity can be issued even if the passport is not expired, the applicant will be asked to give reason for issuance of a new passport.This can be helpful where there is a requirement by an approved work visa or foreign employer or destination authority for additional period of validity to an applicant’s passport that is not available to the applicant.

In-person and online renewal are not identical

Under the general rules of DGI&P early renewal of a passport is possible without a specified date. At this time, however, online renewal is only for a passport that has expired or one year or less remaining.Both inland and overseas Pakistanis can use the online service, but the case must fulfill the conditions for renewal in the portal.

Therefore:

A passport with less than one year remaining may qualify for online renewal.
A worker seeking earlier renewal may need to use a Regional Passport Office or Pakistan mission.
Personal details must remain consistent with the previous passport and NADRA record for an ordinary online renewal case.
A name or date-of-birth change is not the same as a simple renewal.

If you go with the incorrect category online, do not do so just to receive a quicker result.

What happens to the approved visa after renewal

A regular reissue of the passport will typically result in the new passport having a different number.Your work visa, employment entry permit and airline reservation and employer file may still display the old number. The mismatch will need to be addressed prior to travel.DGI&P says the previous passport will be returned after the proper action has been made by the officials. The next passport will be issued on Pakistan’s Passport Rules which describe marking the previous passport to indicate that a new one has been issued.If the old passport was issued with foreign visas in it, this does not guarantee that the foreign visas will all be valid for travel upon return of the passport.

The authority to which the message is sent might demand one of three things.

Carry the old and new passports

If a visa has not expired and the traveller has not altered any details, then some immigration systems will permit a traveller to present both passports.Please don’t take this for granted when considering your work visa. Get a certificate of confirmation from the issuing body, sponsor or embassy.

Amend the visa or entry permit

The authority can accept the sponsor or applicant to change the passport number of the visa linked to the passport.For instance, the Dubai’s GDRFA has an official facility to alter residence permit information by the passport of the sponsored person. There are also systems for amending entry and/or residence records in the UAE federal and Dubai areas.

Cancel and reissue the visa

The visa authority may give a new visa or entry permit, if required, based upon the new passport.

This may be necessary when:

The visa is electronically linked to the old passport.
The system does not allow a passport-number amendment.
Personal details changed.
The old visa was cancelled during renewal.
The employer’s immigration file must be resubmitted.

The outcome is only definitive by the authority of destination or the authority’s designated sponsor.

Country examples must remain separate

Do not try any solution that might be appropriate in one Gulf country in another country.

United Arab Emirates

Official UAE advice is that foreigners who are intending to work in the UAE should have a passport that is good for at least six months prior to their arrival. All visas are checked by ICP for Abu Dhabi, Sharjah, Ajman, Umm Al Quwain, Ras Al Khaimah and Fujairah whereas Dubai-issued visas are checked by GDRFA Dubai.Request from the employer/sponsor that the information on the entry permit be changed before leaving before passport is renewed.Don’t assume simply because it’s in the search results, that it is a valid visa. Confirm its usability with the new number of the passport.

Qatar

Employers are recommended to check the validity of their employees’ passports before they depart from Qatar for their jobs, by the Ministry of Interior. It also offers an official Visa Inquiry service to verify a work visa and/or visit visa approval and print the visa information.The resident-data modification form is published by the Ministry of Interior in Qatar that contains all the information about the residents, including passport details. This is especially true following the entry and residence of a worker.

A worker who hasn’t boarded yet should inquire of the sponsor if the work visa needs to be updated/reissued before he or she is allowed to board.

Oman

According to the Royal Oman Police e-Visa FAQ, a normal passport will need to be at least six months valid prior to entering Oman.Verify that this will continue to be satisfied on the day of arrival. Inquire from the employer and/or visa sponsor about how a new passport number relates to the employment visa approved.

Saudi Arabia

The Ministry of Foreign Affairs (MoFA) visa platform is the place to verify Saudi visas. Compare available record with the current passport prior to travel.Saudi Arabia also offers official services for the residents to get updated information on their passports following the renewal of their passports. Absher has an employer service to update a worker’s renewed passport information, as well as a resident service is listed by Absher.The services provided are resident update services and not proof that any employment visa granted can be used with two passports. If someone has not yet entered Saudi Arabia, he has to check with sponsor and Saudi visa authority the procedure for initial entry.

Recheck your Pakistan departure records

FIA’s current public work-visa guidance lists:

Valid passport
Valid visa
Protector stamp
Work permit for specified countries

While a passport that is coming to the end of its validity may be technically valid, it must also meet requirements for entry into the country to which the traveler is going and be consistent with the rest of the travel file.

Protector registration may still show the old passport

To register in BE&OE’s Protector process, one must have a passport; the direct-emigrant registration form includes the passport number. Protector evidence also will be affixed to or attached to the worker’s passport and registration record.BE&OE’s public pages do not explicitly clarify that each time individuals are issued a new passport and their previous passport remains with the Registrar their BE&OE registration automatically transfers to the new passport.

If you renew after completing Protector registration, contact the relevant Protectorate of Emigrants and ask:

Does my registration need to be updated?
Does the new passport require another endorsement?
Should I carry both passports?
Does my visa need correction first?
Will the existing registration number remain valid?

Don’t take a photocopy of a Protector’s stamp or transfer an endorsement from one passport to another.

Update the ticket after passport renewal

The old passport details have been used to create an airline booking.

Check the following after receiving the new passport:

Passenger name
Date of birth
Nationality
Passport number
Passport expiry
Visa details
Destination
Transit route

The name on the ticket should be the same as the name on the passport used for travelling. If there is an old passport number in the booking, please check with the operating airline or booking source.Please do not double book because of a change in passport number. Ask if the already available information about the passengers can be updated.

Get written confirmation from the employer

The employer or sponsor often controls the destination-country visa process. Send a clear message containing:

Old passport number
New passport number
Visa number
Visa expiry or final entry date
Intended travel date
Copy of the new passport
Question about amendment or reissuance

Request any work done to be documented in writing.

A useful question is:

Is my current work visa included in my new passport and does the issuing country confirm I can travel with my work visa and new passport?When the visa is issued with the old passport number, don’t take the word for it when it is said that there is no issue.

Do not travel in these situations

Delay the flight when:

The passport is below the destination’s published minimum validity.
The passport will expire before the expected arrival date.
The passport number on the visa is wrong.
A new passport was issued but the visa authority has not confirmed how it should be used.
The employer refuses to contact the visa authority.
Protector evidence remains connected to an unexplained old passport.
The airline cannot confirm the document arrangement.
The visa’s final entry date will pass during renewal.
Personal details differ between the two passports.
The passport is damaged even though it has not expired.

Changing a flight is typically more manageable than when you arrive at the airport with procedures that don’t cover a clear legal flight path.

Decide whether to renew

Renew when the passport falls below the official minimum.

Frequently Asked Questions

Can I travel if my passport has five months remaining

Only when the destination and visa category officially permit it. UAE and Qatar work-travel guidance uses a six-month passport-validity condition, so five months would not meet those published requirements. Other countries may apply different rules.

Should I renew my passport after receiving the work visa

Renew when the passport does not meet the destination’s entry requirement or will create difficulty during the planned employment and residence process. DGI&P allows renewal before expiry, so visa approval does not prevent you from renewing.

Will my work visa remain valid after passport renewal

Possibly, but not automatically in every country or visa category. The authority may allow both passports, amend the visa data or require reissuance. Confirm the exact procedure before travel.

Can I carry my old passport with the visa and my new passport

BE&OE’s public guidance does not clearly answer every renewed-passport case. Because the registration records the passport and places Protector evidence on the travel document, confirm the required update with the relevant Protectorate before departure.

Does a valid visa guarantee that the airline will let me travel

No. The passport, visa, Protector evidence, destination conditions and other applicable documents must support the journey. Final decisions remain with the relevant airline and immigration authorities.

What if passport renewal will cause me to miss the visa entry deadline

Contact the employer and visa issuer before the deadline. Ask whether the visa can be amended, extended or reissued. Do not travel on an unsuitable passport merely to avoid losing the existing visa.
