Essential Airport Documents for Pakistani Work Visa Travellers

If a folder is thick, it’s not necessarily a preparatory folder. If a worker is at an airport counter, they might have twenty papers and when called upon cannot find the current visa or evidence of Protector or employer’s contact details.

Work visa airport documents are essential to be authentic, up to date, consistent and organized by the process of travel. The valid passport, valid visa, Protector stamp and for certain countries, a work permit, are the key documents for travelling overseas on a work visa as recommended by FIA. The travel documents of foreign passengers travelling abroad are also checked by FIA immigration officers.

Other records, such as employment contract, employer contact information, insurance papers and accommodation information may not be in FIA’s short list of universal records but can help explain and support the worker’s legal journey of work. This could be dependent on the destination, visa type, employer and recruitment method.

Build the folder around four airport moments

Use a slim document wallet with four clearly labelled sections:

  1. Departure documents
  2. Employment documents
  3. Arrival information
  4. Backup and emergency records

Avoid putting the folder in checked-in luggage. PIA reminds passengers not to place any important documents, valuables, cash or jewellery in their checked baggage. Hand baggage is kept in the passenger’s luggage.

Store in a safe, but convenient location in cabin bag. You should not have to unwrap any clothing, electronics or food in order to get to your passport.

Pocket one contains the documents that control departure

The documents that you might need during the check-in, immigration or boarding process should be kept in the first pocket.

Valid Pakistani passport

Take your passport as well as a photo of it or a photocopy.

Before placing it in the folder, confirm that:

  • The name matches the airline booking.
  • The passport number matches the visa.
  • The passport is not damaged.
  • The photograph remains recognizable.
  • The expiry date meets the destination’s entry requirements.
  • Relevant pages are readable.
  • Any earlier passport connected to the visa is carried when officially required.

According to the Pakistan’s Directorate General of Immigration and Passports, passport can be renewed prior to expiry. It also mandates a person to correct the CNIC or NICOP first before changing any particulars of the passport like name, father’s name or date of birth etc.

Do not change your passport for a work visa (unless you are sure how the new passport number will be treated by the authority of the destination country).

Current work visa or employment entry permit

Bring a clear copy of the visa/entry permit in the appropriate form issued by the country and airline.

The document should be of an employment related nature. Forcing a visit/tourist visa into the work visa category, just because the employer will change it as soon as they arrive on the ground is not acceptable.

Check:

  • Full name
  • Passport number
  • Visa number
  • Visa category
  • Sponsor or employer
  • Occupation where displayed
  • Issue date
  • Expiry or entry deadline
  • Current status

Before printing a visa, check it on the official visa system of the country to which you are traveling.

Visa checks for visas related to Dubai are carried out at GDRFA Dubai, and for visas related to Abu Dhabi, Sharjah, Ajman, Umm Al Quwain and Ras Al Khaimah and Fujairah are done at ICP. On 11 February 2026, UAE Government’s guidance on the tracking of visas was updated.

The Saudi Arabia’s Ministry of Foreign Affairs has an official website to check the validity of its issued visas.

The Ministry of Interior (MoI) is responsible for issuing work or visit visas to foreigners in Qatar and to print/reprint the details of the issued visa.

Taking a visa image provided by an agent will not enable you to examine the actual visa record.

Protector evidence

Protector registration is a procedure in Pakistan, related to emigration, for citizens who wish to go abroad for work. It is given via the Bureau of Emigration and Overseas Employment, and the relevant Protectorate of Emigrants.

BE&OE provides separate registration routes for:

  • Workers hired directly by a foreign employer
  • Workers recruited through an Overseas Employment Promoter

The Overseas Employment Promoter is a private overseas-recruitment organisation, which is provided with licence by Pakistan’s emigration system.

In case of direct employment, BE&OE has already published list which contains online registration request, visa, valid passport, CNIC, signed employment contract or approved undertaking, insurance certificate and applicable receipts or any medical, police or NOC records of the destination.

In the recruitment process for OEP workers, the documents required are permission number, passport, CNIC, insurance certificate, relevant receipts and FSA.

On the passport, BE&OE states that the verification is done and a registration number is allocated and the process of the Protector is completed.

Put the passport with the Protector evidence completed in the first pocket. Include the relevant receipt/registration information in the backup file.

Work permit where specifically required

According to FIA’s public FAQ, there are certain countries who will need a work permit. It doesn’t give one list of countries on that FAQ page.

Confirm the requirement through:

  • The destination-country authority
  • The relevant embassy or consulate
  • BE&OE or your Protectorate office
  • OEC when selected through an OEC programme
  • A verified employer or licensed OEP

Don’t confuse the terms visa, entry permit, residence and work permit.

A work visa or entry permit typically is associated with the travel and entry into a process of employment. Legal employment is tied up with a work permit the authorization to work in the destination country. Usual residence lawfully after arrival is regulated by a residence permit. There are various variations in the order, depending on the country.

Pocket two explains the employment arrangement

The second pocket should include details of the employer, the work that you took on and how you managed to get the job.

Signed employment contract

Bring the current signed contract/Foreign Service Agreement.

The contract should show, where applicable:

  • Employer
  • Job title
  • Country and workplace
  • Basic salary
  • Allowances
  • Accommodation
  • Food or transport
  • Contract duration
  • Working hours
  • Leave
  • Medical or insurance arrangements
  • Signatures

A signed employment contract or agreement is included on BE&OE’s list of records required for direct employment Protector registration. For OEP route, the Foreign Service Agreement is an integral part of the process.

This contract is not a substitute for a visa. It is also not a guarantee of being admitted to another country or getting a boarding place on its own.

Job offer or selection letter

If an offer of employment has additional information that is not evident elsewhere, then attach the final job offer to the contract.

This is particularly useful when it confirms:

  • Selection
  • Joining date
  • Department
  • Duty location
  • Employer contact person
  • Travel instructions

Dispose of any previous drafts and make a note of them as cancelled, remove from active airport folder. If you have two contracts or offers of two different jobs, with two different salaries then it might cause confusion.

Recruitment route evidence

The worker should keep the agency’s official contact information with them and the job permission information attached to the position of a worker recruited via an OEP.

The end records provided on deployment, e.g. a selection confirmation or travel instruction (where appropriate) should be sent to workers via the OEC.

OEC refers to pre-departure orientation provided to selected workers that includes such information as the employment contract, legal rights, health and safety, immigration compliance and contact points for assistance.

Please do not use hand written notes of payment instead of receipts.

Pocket three answers the question of what happens after landing

Most employees are ready to go, but they don’t have any information they can use when they get to their destination.

Create a one-page arrival sheet containing:

  • Employer’s legal name
  • Employer’s verified telephone number
  • Local contact person
  • Airport pickup person
  • Pickup location
  • Accommodation address
  • Worksite city
  • Backup transport plan
  • Emergency contact
  • Flight number and arrival time

Verify information prior to leaving.

Airline ticket and itinerary

Have a final itinerary or electronic confirmation of the ticket.

Check that:

  • Your name matches the passport.
  • The departure and arrival airports are correct.
  • The flight date matches the employer’s instruction.
  • All connecting flights are visible.
  • The booking is ticketed or otherwise confirmed by the airline.
  • Baggage allowance is shown or separately verified.

The ticket will not be used as an immigration document. The purpose in this folder is to assist in check in and to follow the required course.

Accommodation and pickup confirmation

This can be an official letter from the employer, email or verifiable letter with the address and person’s name of the person receiving the letter.

Be sure not to accept a driver who carries a card with your name. Verify the pick up person by an independent contact for the employer.

If no one shows up, stay in an area that is safe (public) in the airport until you have reached the employer and call the back-up numbers. Never go with a stranger, just because he/she knows your name.

Pocket four protects you when something is lost or questioned

There should not be unnecessary originals in the 4th section, this section should include copies.

Photocopies

Carry copies of:

  • Passport identity page
  • Work visa or entry permit
  • Protector evidence

  • Work permit where relevant
  • Insurance certificate
  • Airline itinerary
  • Employer contact sheet

Have at least one copy of this out of the main folder, but in hand luggage.

Avoid bringing unused bank statements, family ID or other unrelated documents/papers.

Secure digital copies

Make readable digital copies prior to travelling.

Store them in:

  • A password-protected cloud account
  • An encrypted device
  • A secure folder accessible to a trusted family member

Insurance information

Both an insurance certificate is listed under BE&OE’s document list for direct employment and document list for OEP.

Carry the certificate or policy information supplied through the legitimate process. Record:

  • Insurer
  • Coverage period
  • Claim contact
  • Emergency procedure

Don’t assume that Emigrant Insurance, Employer medical coverage and personal travel insurance are all the same product!

Pakistan mission details

Keep official information of the Pakistani embassy/consulate concerned relating to the country you are traveling to.

The Ministry of Foreign Affairs (MoFA) publishes mission and focal-person information and mentions that missions have avenues for assistance to the overseas Pakistanis. Officers and contact numbers are subject to change, as is the official page of the mission; check the latest official page before leaving for the mission.

According to FIA’s public FAQ, in case a Pakistani’s travel documents are lost abroad he/she should reach out to the Pakistani mission in the country to issue him an emergency travel document.

Run the six-field matching test

The more documents you have, the worse you do if there are documents which contradict what you have.

Compare these fields across the passport, visa, contract, work permit and Protector record:

All documents don’t have all of the fields. If there is information that does appear, then it shouldn’t cause a problem with the rest of the information.

For instance, in a contract there may be a mention of salary not on the visa. This lack is not a contradiction.

Pause travel preparation when:

  • The passport number is wrong on the visa.
  • The employment contract names another employer.
  • The visa occupation is unrelated to the accepted position.
  • The Protector record uses old passport details.
  • The sponsor cannot be explained.
  • Two active contracts contain different terms.
  • The visa category does not relate to employment.

The authority which issued the incorrect record to amend the record. Please do not make changes to a PDF, scan, stamped or print-out visa.

Arrange the folder in airport order

Place documents in this sequence:

  1. Passport
  2. Visa or entry permit
  3. Protector evidence
  4. Work permit where applicable

Place the passport inside transparent sleeves, but not in those that would damage or staple the official pages of the passport.

If original paperwork is from a government agency do not laminate unless the government agency explicitly states that it can be done. Security features can be covered up or signatures cannot be added after the lamination.

At airline check-in

Ensure that the passport, visa and ticket is readily available. The airline might inspect entry documents prior to taking on the passenger.

At FIA immigration

When asked to present documents, do so actually and when asked questions, give them a truthful answer.

FIA’s Immigration Wing is responsible for the incoming/outgoing travel documents of international passengers, and to ensure that they have fulfilled the relevant government formalities and to identify travel documents that are fake or forged.

Avoid presenting a huge stack of papers on any subject, without being asked. Listen to the question, and give the appropriate record.

After immigration

Put all or originals back in the folder. When leaving the counter area be sure that you still have the passport.

After arrival

Have the passport, visa, employer information and address of the accommodation readily available until you have safely met the verified representative and have arrived at the confirmed accommodation.

Documents that usually belong outside the active folder

Avoid crowding the main folder with:

  • Expired visas
  • Cancelled contracts
  • Old airline bookings
  • Unrelated educational documents
  • Complete family records
  • Original property documents
  • Unnecessary bank statements
  • Unverified recruiter letters
  • Blank signed forms
  • Documents belonging to another person

Certain jobs or end destinations might necessitate original qualifications, licences, medical records or police records. Only carry them if they have been requested by the verified employer/comp competent authority.

Do not mix up originals that contain important educational and/or work materials, but are not easily replaceable, with materials that are touched many times at the airport counters.

Where should you verify unclear requirements

Use BE&OE’s official office finder to answer Protector questions. It shows the district name in the address shown in worker’s CNIC which is the relevant Protectorate. The office finder is said to be updated in February 2026.
